The short version
- HireTrack is the online job application portal of LGU Malitbog.
- You must give true and complete information. False information can get your application rejected or your account closed.
- We use your personal data only to process your job applications, schedule exams and interviews, and contact you.
- Applying through HireTrack does not guarantee that you will be hired.
- You keep certain rights over your personal data, explained in Section 8.
1 About HireTrack
HireTrack is the online recruitment portal of the Local Government Unit (LGU) of Malitbog. Through it you can browse open job posts, apply for positions, submit the information and documents an application needs, and follow the schedule of your examinations and interviews.
These Terms explain the rules for using the portal. They apply to everyone who creates an applicant account.
2 Who may register
To create an account you must:
- be at least 18 years old;
- have an email address you can access, because your login and verification codes are sent there; and
- have a valid Philippine mobile number, plus an emergency contact number.
Each person may have only one account. An email address and a mobile number can belong to only one account.
3 Your account
- You confirm your email address by entering a 6-digit code we send you. Your account is created only after the code is confirmed.
- Keep your password and verification codes private. Never share them with anyone, including people who say they work for the LGU.
- You are responsible for everything done through your account. If you think someone else has used it, change your password and tell the HR / PESO office right away.
- Choose a strong password that follows the rules shown on the registration form.
4 Accurate information
You promise that all the information and documents you give through HireTrack are true, complete, current and your own. This includes your name, age, address, contact details, education, work experience, trainings, eligibility and references.
- Most personal details cannot be changed after you register. Check them carefully on the review screen before you confirm. If you later find a mistake, contact the HR / PESO office.
- Giving false information, using someone else's identity, or submitting fake or altered documents may lead to disqualification from any application, closure of your account, and any action allowed by law.
5 Applying for jobs
- Every job post has its own requirements and deadline. Read them before you apply.
- Applying, passing a step, or being shortlisted does not guarantee employment. Hiring decisions belong to the LGU and the concerned department, following applicable civil service and hiring rules.
- You may be asked for additional documents or information at any time during the process.
- Schedules for examinations and interviews are posted in the portal under My Schedule. You are responsible for checking it, arriving on time, and bringing what is required. Missing a schedule may affect your application.
- Examination and interview results are handled by the LGU. They may not be shown in the portal, and they are released according to the LGU's own procedures.
6 Notifications and messages
We contact you through the portal (notifications) and by email for things such as verification codes, application updates, and exam or interview schedules. Keep your email address working and check your notifications regularly. HireTrack will never ask you to reveal your password.
7 Acceptable use
When using HireTrack, you agree that you will not:
- give false information or pretend to be another person;
- upload documents that are fake, altered, or that you have no right to share;
- try to access another applicant's account or data, or any part of the system you are not allowed to use;
- interfere with, overload or attempt to damage the portal, or use bots or scripts to submit applications;
- upload harmful files, malicious code, or unlawful, offensive or misleading content; or
- use the portal for any purpose other than applying for and following LGU job opportunities.
8 Data Privacy Notice
The LGU respects your privacy and processes your personal data in accordance with the Data Privacy Act of 2012 (Republic Act No. 10173) and its implementing rules. By agreeing to these Terms, you give your consent to the collection and use of your personal data as described below.
What we collect
- Identity and contact details: full name, age, sex, address, email address, mobile number and emergency contact number.
- Account details: your password (stored only in scrambled, hashed form), verification codes, and account activity.
- Profile information: your optional profile photo and short self-description.
- Application information: education, work experience, trainings, eligibility, references, resume and other documents you submit, and the jobs you apply for.
- Examination and interview records: schedules, venues, attendance and results.
- Technical information: such as your IP address and activity logs, used for security and record-keeping.
Why we use it
- to create and verify your account and keep it secure;
- to receive, evaluate and process your job applications;
- to schedule and notify you about examinations and interviews;
- to communicate with you about your applications and this portal;
- to keep the records that government hiring requires, and to prevent fraud and misuse; and
- to produce summary statistics that do not identify you.
Who can see it
Your data can be accessed only by authorized LGU personnel who need it for recruitment: HR / PESO staff, the department officers reviewing applicants for the job posts you applied to, and system administrators when necessary. We use service providers, such as an email delivery service, only to send you messages. We do not sell your personal data. We share it with others only when the law requires it or when you have given consent.
How long we keep it
We keep your data only as long as needed for recruitment and for the record-keeping, audit and retention rules that apply to the LGU. After that, it is disposed of securely.
How we protect it
We use reasonable organizational, physical and technical safeguards, such as hashed passwords, access controls and activity logs. No system can be made completely secure, so please also protect your own password and device.
Your rights
As a data subject you have the right to:
- be informed about how your data is processed;
- access the personal data we hold about you;
- object to processing, or withdraw your consent, subject to what the law and the recruitment process require;
- correct inaccurate or incomplete data;
- request that your data be erased or blocked, subject to records the LGU must keep by law;
- receive a copy of your data in a usable format, where applicable;
- claim compensation for damages caused by inaccurate, unlawful or unauthorized use of your data; and
- file a complaint with the National Privacy Commission if you believe your rights were violated.
To exercise any of these rights, contact the office listed in Section 14.
9 Automated assessment
HireTrack may use automated tools to help HR and hiring officers see how the information in your application matches a job post, for example by comparing your education, experience and skills with the post's requirements. These results are meant to support the reviewers, not to replace them. The LGU's designated officers review applications and make the hiring decisions.
10 Suspension, closure and deletion
- The LGU may suspend or close an account, and disqualify related applications, if these Terms are broken or if information is found to be false.
- You may ask to delete your account from your profile page. Some records may be kept where the law, audit rules or an ongoing recruitment require it. Deleting an account does not cancel any responsibility you already have under these Terms.
11 Availability and limits of responsibility
We work to keep HireTrack available, but it is provided as-is and may sometimes be unavailable because of maintenance, technical problems, or events beyond our control. To the extent the law allows, the LGU is not responsible for missed deadlines or schedules caused by your internet connection, incorrect information you gave, or such interruptions. Please apply and check your schedule early.
12 Changes to these Terms
We may update these Terms from time to time. The version and effective date are shown at the top of this page. If the changes are significant, we may ask you to agree again. Continuing to use HireTrack after an update means you accept the updated Terms.
13 Governing law
These Terms are governed by the laws of the Republic of the Philippines. Any dispute will be handled by the proper offices and courts in the Philippines.
14 Contact
For questions about these Terms, your application, or your personal data, contact the Human Resource / PESO office of LGU Malitbog at the Municipal Hall.
